Process Digitization
Excel sheets, email ping-pong, paper forms and duplicated tools — mid-size companies lose hours every day to tasks software could take care of. We analyse, design and implement digital workflows that measurably save time and cost.
What does process digitization actually mean?
Process digitization means turning manual, analogue or hybrid workflows into fully digital ones. It's more than "replace the Word document with a PDF" — it's about reorganising the entire flow of information between people, systems and departments.
Typical outcomes: 50–90 % time saved on repetitive tasks, shorter cycle times, fewer errors, better reporting and happier teams.
Processes we typically digitize
- Sales / quoting
Lead → quote → order in one central tool instead of Word templates. - Invoicing
Capture, validate, approve and post incoming invoices into DATEV automatically. - HR processes
Holiday, sick leave, time tracking, onboarding — digital and audit-proof. - Procurement
Purchase requisition, approval, goods-receipt — end-to-end digital. - Customer onboarding
Contract signing, document upload, account provisioning. - Maintenance & service
Tickets, dispatch, field-service app, reporting.
Integrations we ship routinely
Process digitization only works if existing systems are integrated — not by introducing another island.
- Accounting & ERP: DATEV, SAP, Microsoft Dynamics, Lexware, Sage, sevDesk, lexoffice
- CRM: HubSpot, Salesforce, Pipedrive, CentralStation, Microsoft Dynamics 365
- Collaboration: Microsoft 365, Google Workspace, Slack, Notion
- Payment: Stripe, Mollie, PayPal, Adyen, Klarna, GoCardless
- Logistics: DHL, UPS, DPD, GLS, Hermes — shipping APIs and tracking
- Identity: Microsoft Entra ID, Google SSO, Keycloak, OAuth, SAML
How we work: from workshop to production
- step 01Discovery workshop (1–2 days)
Map the as-is process, identify bottlenecks, prioritise by ROI. - step 02Target design (1–2 weeks)
Workflow sketch, integration choice, effort estimate. - step 03MVP build (4–12 weeks)
A lean first version, piloted in one department. - step 04Rollout & training
Extend to further teams, documentation, training sessions. - step 05Iteration & operation
Measure, optimise, extend based on real usage data.
Frequently asked questions
Do we need custom software or is a standard platform enough?
Often configuring existing tools (Microsoft Power Automate, Make.com, n8n, Zapier) is enough. Sometimes custom code pays off. We'll tell you honestly — even when that argues against our own service.
How do we measure success?
With clear KPIs: cycle time, error rate, manual touch-points, cost per case. Baseline defined in the workshop, measured again at 3 and 6 months.
What happens to our existing data?
Migration is part of every project. We import from Excel, Access, legacy systems or paper (via scan + OCR). Data protection and retention rules are built in from day one.
How do we get skeptical employees on board?
Early involvement. We interview future users, let them try prototypes, and design around their day-to-day work.
